The Clear Lake Area Chamber of Commerce is a non-profit membership organization serving more than 450 area businesses. Our team works to create and promote a strong business climate—providing value to our membership through opportunities in networking, advocacy, and business resources.
We also serve as Clear Lake’s Visitor Bureau. Connecting visitors with the information they need to experience all Clear Lake has to offer.
Position Description:
Reporting to the President & CEO, the Administrative Assistant position is our organization’s front line customer service expert and plays a key support role in virtually every area of the Chamber. This position has broad responsibilities including customer service, member communication, accounts payable & receivable, office management, event execution, and more.
Administrative Assistant Responsibilities:
- Accounts Receivable and Payable
- Handle general office tasks, maintain detailed and organized records/files, plan/schedule/set up for meetings, sort mail, reorder supplies, and tidy office
- Provide polite and professional communication in-person and via phone, e-mail, and mail
- Proofread correspondences for spelling, grammar, and layout, making appropriate changes
- Maintain Chamber Master database to ensure member information remains current
- Prepare board packets, attend monthly Chamber Board of Directors Meetings, take & distribute meeting minutes
- Greet and assist visitors—provide accurate information on local and regional tourism, assist with way-finding, hotel, attractions, events and seasonal information
- Maintain the Visitor Center—keep the lobby clean and restock brochures and merchandise
- Assist with event operations, sell tickets, perform on-site event set up and registration, prepare event documents (nametags, flyers, registration lists, etc.)
- Other duties as assigned
Employment Requirements:
- A minimum of two years of experience in a professional office setting as an administrative assistant/receptionist
- Accounts payable/receivable, records management, and meeting coordination experience preferred
- Must be pleasant, hospitable and provide excellent customer service at all times
- Punctual and reliable
- Excellent interpersonal communication skills, both oral and written
- Self-starter, motivated, well-organized, and willingness to adapt and learn new skills
- Flexible schedule and ability to work outside of standard office hours, as needed, for early morning or evening events and meetings
- Excellent computer skills—must be proficient with Microsoft Office Applications (Outlook, Word, Excel, etc.)
- Additional computer experience preferred (Chamber Master or similar customer relationship management database, Social Media platforms, etc.)
- Must have a valid drivers’ license and reliable transportation
- Post-secondary education preferred
- Behaves with the highest level of professionalism and ethical standards and has ability to handle sensitive information confidentially
Working Conditions:
Office hours are Monday to Friday, 8:00am-5:00pm. Approximately 90% of the time is spent in the office environment, utilizing computers as well as other office equipment. Frequent use of phones, general office equipment and various software programs. Approximately 10% of the time is assisting with meeting setup and event preparation.
Physical Requirements:
- Ability to lift up to 50 pounds
- Requires at times walking and going up/down stairs
Salary Range:
$15-$17.50/hour based on experience
